Why are Inactive Employees Appearing as Active in Reporting?

The user profile got deactivated only in one of the databases. This issue typically happens when the Expense User permission is removed before the termination date is added. The termination date is part of the travel database, so in order to terminate the user in both expense and travel databases when the account termination date is set, the user must have the Expense User role assigned.

TIP: When you want to deactivate a user profile, do not remove their roles, just insert a termination date and save.

Concur has two major databases, one in travel and one in expense. Regardless if a company only utilizes Concur's expense program, on the back end, for an Expense only (or also for Expense&Travel) profile to be fully functional, it should be present on both databases.


To solve the issue, login to Cognos Reporting> Intelligence - Standard Reporting> Administration‬> Employee Details


An administrator with theUser Administrationrole can:

  1. Go toAdministration > Company > Company Admin > User Administration
  2. Search for the profile and open it
  3. CheckExpense Usercheckbox
  4. ClickSave
  • Once the Expense user role is assigned and the profile saved with the account termination date present, the Expense profile will be made inactive.

Note:

  • EnsuringrolesUser Administrationunder travelandEmployee Administrator/Employee Maintenanceunder expense has been assigned to the travel and expense Administrator works hand in hand with the above process.

  • Reporting data requires 24 hours to be updated, so the employee should stop appearing as active in Cognos Reporting 24 hours after the change
